4b: Maintaining Accurate Records
"Teachers (and when applicable-students) keep accurate records on instructional and non-instructional events."
Artifact #1 2013-14: Budget
As a library media specialist on important aspect of my job is operating within a budget and keeping all the documentation for purchases made. My chosen artifact shows how I kept track of library money spent and money available.
Artifact #1 2014-2015: Overdue Notices
Approximately twice a month I run a Patron Overdue Report so that students can be notified of any items they currently have checked out and should return to the library. This is essential for popular books as there is often times a waiting list.
Artifact #2 2014-2015: Tech Ed Gradebook
Keeping an online gradebook has allowed me to add grades on a frequent basis to keep students' records up-to-date and accurate.
Artifact #1 2015-2016: Librarytrac
This year BCPS purchased the librartrac program for all secondary libraries. Though there was a huge learning curve this program has greatly improved scheduling for the library, library computer lab, and computer carts. It has also provided a wealth of data as to exactly how/when the library is being and who is using it.
Artifact #2 2015-2016 : Titlewave Analysis
Multiple times throughout the school year I am required to analyze the HMS collection for age and balance. In order to collect and house that data BCPS uses Titlewave which is an essential tool for maintaining an up to date, balanced, and student centered collection.

When weeding old and unused books one of the tools at my disposal is running the Collection Circulation Report in Destiny. This report shows me all of the titles that have not circulated in a given time period. I can then use this report to help me decide if a book should be kept or weeded.
Artifact #2 2016-2017: MSDE State Report

Each year I submit a Annual Report to Maryland State Department of Education. This report is a great tool for reflections and for making me think about all the aspects of the library many of which I wouldn't think about if it were not for completing this report.
Artifact #1 2017-2018: Scholastic Book Fair
Each year the Library Program hosts a Scholastic Book Fair which is very fun and rewarding but as you can imagine is a massive amount of work. At the end of the fair all the money has to be counted, credit card slips accounted for and the financial form filled out. For me the money portion of the fair is the most stress inducing.
Artifact #2 2017-2018: Titlewave Aged Titles Analysis
As part of the data collected for the MSDE Report Aged Titles is one of the most important places on which to focus. The information above allows me to see the average age of our collection and to know what nonfiction areas are in most dire need of updating. Sadly, as research has moved to a digital/online presence it is becoming increasingly difficult to find new current nonfiction print materials.
